GoHighLevel expert in the UK: GHL set up properly, with AI that actually works

A GoHighLevel expert sets up, fixes and runs GHL so it does the admin side of selling for you. New leads get a reply in minutes. Follow-up keeps going after the first email. Bookings, reminders and no-show chasers run on their own, and AI handles the first conversation. I'm Steven Tann, a 14x certified GoHighLevel admin based in England, and that's most of my working week.

I built my own agency on GoHighLevel to 156 sub-accounts and sold it. And since then I've done more than 7,000 sales calls with agency owners, built SalesM8 on top of HighLevel, and been a guest on The HighLevel Experience podcast. But these days most of my GHL work is on the AI side, because that's where accounts go wrong fastest.

What I do inside GoHighLevel

  • New account builds: pipelines, calendars, forms, custom fields and the workflows behind them, set up once and set up right.
  • Rescue jobs on accounts someone else built. Duplicate pipelines, dead workflows, 400 tags nobody can explain. I sort out what to keep and what to bin.
  • Conversation AI for website chat, SMS, Facebook and Instagram messages, trained on your business with proper handover rules.
  • Voice AI for missed calls and after-hours enquiries, so the phone gets answered when you can't.
  • Speed-to-lead, reminders, no-show follow-up, review requests and reactivation of old leads, built as workflows that run without you.
  • Snapshots and SaaS Mode for agencies, so every new client starts from a clean, tested build instead of a copy of the last mess.
  • Bulk workflow builds by script when there are dozens to create, using the same internal API the GHL builder uses.
  • Training for you and your team, so the account doesn't fall over the week after I step back.

Why the AI side is where accounts go wrong

Most GHL accounts I open now have AI switched on and nobody watching it. The bot runs on the default prompt, the knowledge base is a copy of the homepage, and there's no rule for when it should stop and pass the conversation to a person. So it books people into the wrong calendar, makes up prices, or chats away to someone who wanted to complain.

Getting it right isn't complicated, it's just careful work. Write the prompt around the real questions your customers ask. Feed it the documents that answer them. Decide what it's allowed to book, quote and promise. Set the handover triggers. And then read the transcripts every week for the first month and fix what it gets wrong. That last step is the one everyone skips.

Done that way, AI inside GoHighLevel takes most of the first replies off your team and gets them back faster than any person could. Done the lazy way, it's a liability with your logo on it.

UK specifics: GDPR, PECR and phone numbers

GoHighLevel is an American platform, and a lot of the templates floating around assume American rules. But in the UK, marketing texts and emails fall under PECR as well as GDPR. You need consent, or a genuine soft opt-in from an existing customer, before you send marketing. Every message needs a working way to opt out, and your forms need to say what people are signing up for.

UK phone numbers in GHL need the regulatory paperwork done before they'll be issued, and every number you import should be in +44 format or your texts just fail without telling you. Email needs your own sending domain with SPF, DKIM and DMARC set, or you'll land in spam. And none of it's hard. It's just the stuff that gets missed when a setup is copied from a US course.

Signs your GHL account needs an expert

  • You pay for GoHighLevel and use it as a fancy address book.
  • Leads sit for hours before anyone replies, even though you've got automations.
  • Workflows fire twice, or not at all, and nobody's sure which one is live.
  • Your AI bot has said something to a customer that made you wince.
  • You've got three pipelines that all sort of do the same job.
  • Texts and emails are failing and you only find out when a customer tells you.
  • You're an agency, every client build is slightly different, and support is eating your week.

What it looks like in a real business

DCRM is a dental CRM built on GoHighLevel. It was growing fast and every new practice was being set up a bit differently. We went through all 76 workflows, rebuilt them as one modular setup so each practice only gets the parts it pays for, documented the processes so the founder wasn't the help desk, and tidied up sales and onboarding. So now more than 20 practices run on one standard build.

With a UK wedding venue I work with, the problem is speed. Their own enquiry data shows couples book a viewing with whoever replies first, properly. So the plan puts reply time first, and every automated step also creates a task for a real person, because couples want to feel known, not processed. Same platform, completely different problem. That's why I start with the business, not the software.

How working with me goes

  1. 01A free 30-minute call. You tell me what's going on and I tell you straight whether you need me.
  2. 02I look inside the account and write down what's broken, what's leaking and what to ignore.
  3. 03We agree the order. Lead response and anything that's losing you money goes first.
  4. 04I build it, test it with real contacts and switch it on.
  5. 05You and your team get shown how it works, and I stay on call while it beds in.

GHL agency, freelancer or consultant?

A freelancer from Upwork is fine for a single job you can describe exactly, like building one funnel. An agency is the right call if you want someone running your ads and marketing, with GHL as the tool underneath. And a consultant is for when you're not sure what should be built, or the account is a mess, or you want AI doing real work and need someone to own the decisions.

That last one's me. I'll often tell people to use a freelancer for the simple bits and save their money. No knock on agencies either. I work with plenty of them. It's just a different job.

"He helped us standardise our GoHighLevel setup across more than 20 dental practices, moving us to modular snapshots so each client only gets the features they pay for. He also helped me rethink our team structure so I could step out of day to day operations and focus on growth."

"If you run a service business and want to adopt AI properly, not just buy it, Steven is the person I'd call."

Questions people ask

How much does a GoHighLevel expert cost in the UK?

It depends how much you want done for you. With me, the Community is $197 a month and you do the building with help on Monday calls. The AI Ops Audit is $497 one-off and gives you a written plan. Done-with-you work is quoted after a free call, once I've seen the account.

Are you a certified GoHighLevel admin?

Yes. I hold 14 GoHighLevel certifications, which is every one HighLevel runs, and I'm listed in the official HighLevel Certified Admin directory.

Can you fix a GHL account someone else built?

Yes, and that's most of the work. The usual account has been touched by two or three people over a couple of years. I go through it, keep what works, switch off what's dead and rebuild the bits that leak leads.

Do you work with agencies or with business owners?

Both. Agencies bring me in for snapshots, SaaS Mode and the AI side. Business owners bring me in because they're paying for GHL and only using a fraction of it.

Is GoHighLevel GDPR compliant for UK businesses?

GHL gives you the tools, but compliance comes from how it's set up. You need consent captured on your forms, unsubscribe and opt-out handling on every channel, a data processing agreement in place, and a privacy policy that says what you do with the data. I set all of that up as standard.

Can GoHighLevel's AI answer my enquiries for me?

Yes, if it's set up properly. Conversation AI and Voice AI are good now. With default prompts and an empty knowledge base they'll say daft things to your customers. Trained on your business, with clear rules for when to hand over to a person, they take most of the first replies off your plate.

Do you only work in London?

No. I'm on a narrowboat in England, so everything is on Zoom. I work with businesses across the UK and back home in Australia.
